Service Terms

Clear scope. Shared responsibilities. A practical working relationship.

These terms explain the general basis on which Pivot Growth House provides marketing services. Your written proposal or service agreement sets out the specific services, deliverables, fees and commitments for your project.

Last updated: October 10, 2026

1. Your service agreement

Before work begins, we confirm the scope of services and payment arrangements in writing.

These Service Terms apply where they are expressly included in your accepted proposal or service agreement. If that agreement conflicts with these general terms, the specific agreement takes priority, subject to applicable law.

Browsing our website or submitting an enquiry does not, by itself, create a paid service agreement.

2. Services and scope

Pivot Growth House offers services including social media marketing, search engine optimization, local SEO, answer engine optimization, generative engine optimization and paid advertising.

Your agreement identifies the services included, relevant platforms, deliverables, reporting arrangements and any exclusions.

Website package descriptions provide general information. Your accepted proposal confirms what is included in your engagement.

Services such as photography, video production, website development, hosting, extensive technical repairs and ongoing message management are included only when expressly agreed.

3. Client responsibilities

To help us deliver the agreed work, you are responsible for:

  • Providing accurate business information and suitable materials.
  • Providing authorized access to relevant accounts and systems.
  • Identifying a contact who can give instructions and approvals.
  • Reviewing drafts and responding within agreed timeframes.
  • Confirming the accuracy of prices, offers, service details and claims.
  • Ensuring you have permission to use materials supplied to us.
  • Paying agreed invoices when due.

You remain responsible for your business operations, customer service, sales follow-up and fulfilment of advertised offers.

4. Account access and ownership

Client-owned websites, domains, social media profiles and advertising accounts remain under the client’s ownership or control, subject to the relevant provider’s terms.

Where supported, access should be granted through account permissions rather than shared passwords.

You authorize us to make changes within the agreed scope. Significant changes outside that scope require additional approval.

At the end of an engagement, we will coordinate the removal of our access and any agreed handover. Third-party subscriptions and accounts remain subject to their providers’ terms.

5. Content approvals

We agree on an approval process before publishing content or launching campaigns.

You are responsible for reviewing factual claims, pricing, promotions and industry-specific requirements. We are responsible for preparing work within the agreed brief and addressing agreed revisions.

Silence does not count as approval unless a specific approval arrangement has been expressly agreed in writing.

Delays in receiving materials or approvals may affect publication dates and project timelines.

6. Revisions and additional work

Your proposal identifies any included revision rounds or ongoing content allowances.

Requests for additional deliverables, new platforms, substantial changes to an approved direction or work beyond the agreed scope may require additional fees.

We will explain the proposed change in scope, cost and timing before proceeding with additional chargeable work.

7. Fees, currency and taxes

Unless expressly stated otherwise, prices are quoted in Canadian dollars.

Your agreement or invoice identifies applicable taxes, deposits, payment dates and billing frequency. Advertising spend and third-party costs are separate from our service fees unless expressly included.

Changes to ongoing service fees will be communicated in advance and handled according to your agreement. Updated website pricing does not automatically change an existing contract.

8. Payment methods

Payment instructions will be provided with your invoice or checkout.

Stripe card payments and Interac e-Transfer may be offered where available. Please use only payment instructions supplied through our official communications.

Recurring charges require your authorization and will follow the billing schedule agreed with you.

If a payment fails or an invoice becomes overdue, we will contact you. Any suspension of work will follow your agreement and applicable law, with notice where appropriate.

9. Advertising budgets and external costs

Paid advertising requires an agreed advertising budget in addition to management fees unless your proposal states otherwise.

We will not increase your authorized advertising budget without approval. Platform billing schedules, taxes and spending fluctuations remain subject to the platform’s terms and campaign settings.

Software, stock assets, hosting, domains and other external purchases require approval where they create additional client costs.

10. Marketing performance

We deliver the agreed work with reasonable care and skill. Marketing outcomes depend on factors including competition, budget, market demand, website quality, platform changes and the client’s sales process.

We do not guarantee a particular search ranking, AI citation, follower count, number of enquiries, advertising cost, revenue level or return on investment.

Any forecasts or targets are planning estimates unless expressly described otherwise in a written agreement.

This does not reduce our responsibility to provide the agreed services.

11. Reporting and measurement

Reporting frequency and measures are set out in your proposal.

Reports may draw on information supplied by third-party platforms. Tracking restrictions, attribution methods, consent settings and technical limitations can affect the available data.

Where a material measurement limitation is known, we will explain it rather than present estimates as confirmed results.

12. Third-party platforms

Search engines, social networks, advertising platforms, hosting providers and payment services operate independently of Pivot Growth House.

Their policies, functionality and availability may change. They may reject advertisements, restrict accounts or experience service interruptions.

We will communicate relevant issues and discuss reasonable next steps within our scope. Additional recovery, migration or redevelopment work may require a separate agreement.

13. Content ownership and licences

You retain ownership of materials you provide and grant us permission to use them to deliver the agreed services.

Unless your agreement states otherwise, ownership of original final deliverables created specifically for your project transfers to you once the relevant fees have been paid.

Our existing templates, methods, tools and reusable materials remain ours. Where these are incorporated into a deliverable, we grant the permissions needed for its agreed use.

Third-party images, fonts, software and other licensed assets remain subject to their own licence conditions.

Editable source files, unused concepts and working files are included only where agreed. We will obtain permission before using your name, logo or project results in a public case study.

14. Confidentiality and privacy

Both parties will protect confidential information received during the engagement and use it only for the agreed work, except where disclosure is authorized or required by law.

Relevant information may be shared with authorized service providers who assist with delivery, subject to appropriate confidentiality and privacy arrangements.

Our handling of personal information is described in our Privacy Notice.

Privacy questions may be directed to Privacy Administrator at hello@pivotgrowthhouse.com.

15. Pausing or ending services

Your written agreement specifies any minimum commitment, renewal arrangements, cancellation notice and termination rights.

Cancellation or pause requests should be sent to hello@pivotgrowthhouse.com We will confirm the effective date and explain any outstanding work, payments or handover arrangements.

Stopping a payment does not, by itself, cancel an agreement.

Completed work and authorized commitments will be accounted for according to your agreement and applicable law. Any prepaid amount relating to undelivered services will be reviewed against those same requirements.

We do not apply a blanket “no refunds” policy.

16. Concerns and dispute resolution

If you have a concern, contact us promptly with a description of the issue and the resolution you are seeking.

We will review the concern and work with you toward a practical resolution. Either party may seek independent advice or use remedies available under the agreement and applicable law.

Nothing in these terms removes rights or remedies that cannot lawfully be excluded.

17. Governing law

Unless your written agreement states otherwise, the engagement is governed by the laws of Ontario and the applicable federal laws of Canada, subject to any mandatory laws that apply.

18. Updates to these terms

We may update the terms displayed on this website.

Changes do not automatically amend an existing client agreement. Any amendment to an active engagement will follow its agreed change process and applicable legal requirements.
